I’ve had files where I swear the docs just vanish into thin air, even when I double-check uploads. One time, a client and I both sent the same W-2 three times—turns out their system flagged it as “illegible” because of a tiny smudge. Shared folders help, but only if everyone’s actually looking at them... sometimes it just means more places for stuff to get lost.

Honestly, I’ve had the same issue with docs just… disappearing. Drives me nuts. I started naming everything super clearly and keeping a master checklist. Not perfect, but it’s saved me from re-uploading the same stuff over and over. Shared folders are only as good as the people using them, honestly.

Naming conventions are a lifesaver, but even then, things slip through the cracks. I’ve had to resend pay stubs and tax forms more times than I can count. One thing that helped was scanning everything as soon as I got it and saving it with the date and a brief description—like “2023-09_W2” or “Refi_AppraisalReport.” It’s tedious, but when you’re dealing with lenders or legal stuff, having that digital paper trail is worth it. Shared folders only work if everyone’s on the same page, which… isn’t always the case.

Man, I totally get you on the scanning and naming grind. I started doing that after losing a 1099 in a sea of random PDFs—never again. But even with all that, sometimes my partner just dumps stuff in the shared folder with names like “doc1” or “scan_final_final.” Drives me nuts. Have you ever tried using one of those receipt organizer apps? I’m wondering if it’s worth switching things up or if it just adds another layer of hassle...

That’s the story of my life, honestly. I tried a couple of those receipt organizer apps—Expensify and Shoeboxed come to mind. They’re decent for receipts, but for docs like 1099s or closing statements, I still end up renaming files myself. My system now is: scan, rename right away (date_type_property), then drop it in a folder. It’s a pain at first, but way less hassle than digging through “scan_final_final” when tax time hits. Apps help, but they don’t totally solve the naming chaos.
