I hear you—my refinance paperwork stack is a whole new level of ridiculous. I used to roll my eyes at people who scanned everything, but after my servicer “lost” a payoff letter, I’m basically running a mini-archive now. It’s not paranoia if they really do mess up this often, right?

I totally get it—my first round of mortgage paperwork felt like I was prepping for a tax audit or something. I started scanning everything after my lender “misplaced” a W-2. Do you use a specific app, or just your phone camera? Sometimes I wonder if I’m overdoing it, but then stuff goes missing and I’m glad I kept backups.

Totally relate to the paperwork chaos—when I refinanced, I swear my dining table disappeared under all those forms. I started out just snapping pics with my phone, but some lenders got picky about “legible PDFs,” which led me down the scanner app rabbit hole. CamScanner worked for a bit, but then I switched to Adobe Scan since it auto-saves to the cloud. That’s saved me more than once when a doc went missing or someone claimed they never got it.

Here’s what’s worked for me:
1. Scan everything as soon as it arrives—don’t wait, because things get buried.
2. Name files with dates and what they are (like “2024-03-01_W2.pdf”) so you’re not hunting through random images.
3. Back up to at least two spots—cloud and maybe a USB drive, just in case.

Sometimes I wonder if I’m being paranoid, but honestly, after having to resend pay stubs three times, I’d rather be over-prepared than scrambling last minute. The only thing I haven’t figured out is how long to keep all this stuff after closing… does anyone else just keep everything forever, or is there a magic “toss it” date?

I hear you on the “legible PDF” struggle—some lenders act like you’re submitting to the Library of Congress. I always tell clients: keep everything for at least a year after closing, but honestly, I’ve seen folks hang onto docs for way longer just in case there’s a tax question or a random lender follow-up. If you’ve got the digital backups, it’s not like they’re taking up closet space... unless your desktop looks like my inbox, which is another story.
